Frequently asked questions

Ceven interacts with Oksign via secure API calls to manage your documents. The agent does not store the actual PDF files on its own servers for long term storage. Instead, it manages the upload and retrieval process using the tokens provided by Oksign. All communication is encrypted in transit. When a document is signed, the agent can trigger a download to move the final copy to your own secure storage like Google Drive or SharePoint and then use the remove document action to wipe the file from Oksign entirely. This ensures that sensitive legal data only resides in your approved corporate repositories while Oksign acts as the secure signing gateway.
Yes. Oksign imposes a specific rate limit on the get active documents endpoint. This action is limited to one request every three minutes. If a workflow is designed to poll for status updates more frequently than this, the API will return a rate limit error. To handle this, Ceven implements a queuing system that spaces out requests to ensure they stay within these bounds. For teams needing more immediate updates, we recommend configuring the organization webhook URL through the update organization token info action, which allows Oksign to push updates to Ceven the moment a document status changes rather than relying on polling.
Ceven uses the upload form descriptor action to define where signature and form fields should be placed on a document. This requires a specific descriptor file that maps coordinates or tags in your PDF to Oksign fields. While the agent cannot visually see the document to guess where a signature goes, it can pull a template descriptor from your library and apply it to a new upload. For complex documents that change length, we suggest using the create editor express session tool first to manually set up a master template, which the agent can then replicate across hundreds of similar contracts for different clients.
The agent uses the upload contacts action to keep your Oksign address book in sync with your primary database. When a new lead is marked as won in your CRM, the agent extracts the name, email, and mobile number and pushes them to Oksign. If a contact changes their email address in your CRM, the agent identifies the existing record in Oksign and updates it to prevent duplicate entries. This ensures that when you trigger a signing workflow, the notification emails and SMS messages are sent to the most current contact information without any manual data entry or copy paste errors by your staff.
Ceven can monitor the status of documents using the get active documents action. If a document remains in a pending state beyond your expected window, the agent can trigger the upload notifications action to send a fresh signing link via email or SMS. You can build a logic flow where the agent sends a gentle reminder on day two and a more urgent notice on day five. Since the agent has access to the signer contact details, it can also notify the account manager in Slack that a specific client is stalling on a contract, allowing for a human follow up if the automated links are ignored.
Ceven can manage multiple Oksign credentials if you have separate organization tokens for different business branches. You can define which token the agent should use based on the region or branch associated with the contract in your CRM. For example, if a deal is tagged as North America, the agent uses the North American Oksign token to ensure the document is hosted and managed under the correct legal entity. This allows for centralized automation while maintaining the necessary separation of documents and billing credits across different organizational units or international subsidiaries.
Ceven supports the upload of PDF and Word documents to the Oksign platform. The maximum file size permitted for any single upload is 10 MB. If you have documents larger than this, you will need to compress them before the agent attempts the upload action, otherwise Oksign will reject the request. Once uploaded, the agent can then attach the necessary form descriptors to make the document interactive. For the best results and most consistent field placement, we strongly recommend using PDF format, as Word documents may experience slight layout shifts during the conversion process on the Oksign platform.
The agent can be programmed to automatically clean up the Oksign platform to maintain data privacy. By using the remove document action, Ceven can delete both the source document and the signed copies once they have been successfully archived in your internal system. This is particularly useful for companies with strict data retention policies that forbid storing personally identifiable information on third party platforms longer than necessary. You can set a workflow that triggers this deletion exactly twenty four hours after the final signature is captured, ensuring you have a backup while minimizing your external data footprint.
