The access token is used for individual API calls and the refresh token allows us to maintain the connection without asking you to log in every few hours. You can revoke this access at any time through your Zoho account security settings.
Yes. Ceven can read and write to custom modules just like standard modules. When you use the create record or update record actions, you simply specify the API name of your custom module. The agent will then map the fields based on the schema it pulls from your Zoho environment. If you have complex custom fields like lookup fields or multi select picklists, the agent handles the formatting requirements of the Zoho API to ensure the data lands in the correct field without causing a validation error.
Ceven is subject to the API limits set by your specific Zoho plan. Zoho enforces strict concurrency limits and daily credit quotas based on whether you are on the Standard, Professional, or Enterprise tier. If a workflow attempts to update thousands of records at once, Zoho may return a rate limit error. Ceven handles this by implementing an exponential backoff strategy, meaning the agent will wait a few seconds and try again. For very large batches, we recommend scheduling the workflow to run in smaller chunks to avoid hitting these ceilings.
Ceven works with the current Zoho CRM API version. The lead conversion process in Zoho is complex because it involves creating three separate records in different modules simultaneously. Ceven manages this by calling the convert lead endpoint which handles the atomic transaction on the Zoho side. This ensures that you do not end up with a contact without an associated account or a deal without a contact. If the conversion fails due to a missing mandatory field in the account module, Ceven will report the exact field that needs attention.
The agent uses a search before write pattern to prevent duplicates. Before creating a new lead or contact, Ceven can be configured to search for an existing record using a unique identifier like an email address. If a match is found, the agent can either update the existing record with new information or alert you that a duplicate exists. This keeps your CRM clean and prevents your sales team from reaching out to the same prospect multiple times from different lead sources.
Yes. By setting up webhooks in Zoho, you can tell Zoho to notify Ceven whenever a specific event occurs, such as a deal moving to the closed won stage. Once the webhook fires, Ceven triggers the associated workflow, which might involve sending a welcome email, creating a project in another tool, or notifying a Slack channel. This allows for a bidirectional flow of data where Zoho acts as the trigger and Ceven acts as the execution layer for the rest of your business processes.
If you attempt to create a record and a field marked as mandatory in Zoho is missing, the Zoho API will return a validation error. Ceven captures this error and provides a clear explanation of which field is missing. You can then adjust your workflow to pull that data from another source or provide a default value. Because Zoho allows admins to change mandatory fields at any time, the agent dynamically checks the module layout to ensure the request meets the current requirements of your specific CRM configuration.
