Frequently asked questions

Ceven uses a queue based system to process Byteforms data. When a new submission arrives, it is placed in a processing line that ensures no data is lost during traffic spikes. The agent processes these in the order they were received, mapping each field to your downstream tools. For accounts with thousands of entries, we use pagination to fetch data in small chunks, which prevents timeout errors and ensures the workflow remains stable. You can set up filters to only process responses that meet specific criteria, which reduces the load on your other connected SaaS tools and keeps your automation costs low.
Ceven can create the basic structure and fields of a form via the API. However, advanced conditional logic like showing or hiding fields based on previous answers must currently be configured within the Byteforms visual editor. Once the form is created by the agent, you can jump into the Byteforms dashboard to add the fine grained logic rules. After you save those changes, Ceven will immediately recognize the new structure and can begin processing the responses according to the logic you set up, ensuring the data flowing into your workflows is clean and relevant.
Ceven can manage as many forms as your Byteforms account tier allows. We do not impose an additional limit on the number of forms you can connect to workflows. If you are on a free tier with Byteforms, you may hit their API rate limits if you attempt to pull thousands of responses every minute. In those cases, Ceven will implement an exponential backoff strategy, meaning it will wait a few seconds before retrying the request. This ensures your account stays in good standing with the Byteforms API while still ensuring every single submission is eventually processed.
Ceven acts as a secure conduit for your data. We do not store the contents of your Byteforms submissions in a permanent database; instead, we pass the data through the workflow layer to your destination tool. All data in transit is encrypted using industry standard TLS. You can define which specific fields the agent is allowed to access, ensuring that sensitive information like passwords or social security numbers is never processed by the AI model unless you explicitly map those fields into a required workflow step for a trusted downstream system.
Yes. This is a common use case. You can build a workflow where the agent pulls new responses from Byteforms and appends them as new rows in Google Sheets or Airtable. The agent handles the mapping of form field names to column headers automatically. If you add a new field to your Byteforms form, you simply tell the agent to map the new field to a new column in your sheet. This eliminates the need for third party middleware and allows you to add a layer of AI filtering to remove spam before the data hits your spreadsheet.
If a form is deleted, any active workflow attempting to pull responses from that ID will return a four zero four error. Ceven detects this specific error and will send a notification to the workflow owner via your preferred channel. The agent will then pause the specific automation tied to that form to prevent repeated failed calls. To resume, you can either provide a new form ID or update the workflow to point to a different data source. This prevents your logs from filling up with errors and ensures you are alerted to the missing data source immediately.
Yes. Because Ceven passes the text from Byteforms through a large language model, it can perform real time sentiment analysis on open ended responses. You can set up a workflow that flags any response with a negative sentiment for immediate human review. For example, if a customer submits a feedback form expressing frustration, the agent can detect the tone, categorize the issue as urgent, and create a high priority ticket in your support desk with a summary of the complaint already written, allowing your team to respond faster to unhappy users.
Ceven works with any Byteforms account that has API access enabled. Some basic or legacy plans in Byteforms may have API access gated behind a paid subscription. If you attempt to connect an account without the necessary permissions, Ceven will display a clear message stating that the API is disabled for your current tier. Once you upgrade your Byteforms plan to include API access, you can simply reconnect your account and all your forms will be instantly available for use within the Ceven workflow engine without needing to rebuild your existing automations.
