Frequently asked questions

Ceven accesses your attendee lists via the ClickMeeting API. When a session ends or a registration occurs, the agent pulls the specific fields you have mapped, such as name and email, and pushes them to your destination tool. We do not store the raw attendee lists permanently; we treat them as transient data moving through a workflow. You can set filters so that only participants who stayed for more than a certain percentage of the session are synced to your CRM, which helps sales teams prioritize high intent leads over those who joined and left immediately.
Yes. Once you create a conference through Ceven or manually in ClickMeeting, the agent can trigger the Send Invitation action. You can link this to a trigger in another app, such as a new row in a Google Sheet or a specific tag in your email marketing tool. The agent will pass the email addresses to ClickMeeting to send the official invites. This removes the need to manually upload email lists into the ClickMeeting dashboard every time you host a new event.
Ceven is bound by the API rate limits and the storage limits of your specific ClickMeeting subscription tier. If you are on a basic plan with limited recording storage, the agent cannot bypass those quotas. If you attempt to create too many conferences or pull too many reports in a very short window, ClickMeeting may return a rate limit error. When this happens, Ceven automatically queues the request and retries it using an exponential backoff strategy to ensure no data is lost during the sync process.
Ceven can retrieve the results of surveys conducted during a session using the Get Session Surveys tool. Once the data is pulled, the agent can analyze the sentiment of the responses or flag negative feedback for immediate human intervention. For example, if a participant leaves a one star rating on a survey, Ceven can automatically create a high priority ticket in your support desk and notify the account manager, allowing you to resolve the issue before the customer churns.
When the agent calls the Generate Session PDF Report action, ClickMeeting creates the file on their servers. Ceven then retrieves the link to that PDF. You can configure your workflow to take that link and upload the file to a specific folder in Dropbox or Google Drive, or attach it to a Slack message for your team. This is particularly useful for agencies that need to provide automated proof of performance reports to their clients after every hosted webinar.
The agent can retrieve available conference skins via the API, which allows it to suggest or verify the current theme of your room. While most visual branding is handled within the ClickMeeting dashboard for ease of design, Ceven can ensure that the correct skin is applied to a conference when creating it through a workflow. This ensures brand consistency across all your automated webinars without requiring a manual check of the settings every time a new room is provisioned.
Ceven connects to the account owner or the user who authorizes the API connection. Because ClickMeeting uses a permission model based on the account level, the agent has the permissions of the connecting user. If the connecting user has administrative rights, the agent can create and delete conferences across the entire account. If the user has limited rights, the agent will only be able to perform actions that the user is permitted to do within the ClickMeeting interface.
If a workflow is attempting to retrieve a recording that has been deleted, the ClickMeeting API will return a not found error. Ceven is designed to handle these exceptions gracefully. Instead of the entire workflow crashing, the agent will log a specific error stating that the recording ID no longer exists and will move to the next item in the queue. You can set up a notification in your workflow to alert you whenever a requested file is missing.
