Frequently asked questions

Ceven manages the signing order by interacting with the recipient roles defined in your Documenso templates. When the agent uses a template, it assigns specific users to those roles. Documenso then enforces the signing order naturally. Ceven monitors the document status through the API and only triggers downstream actions, like sending a welcome email or notifying a Slack channel, once the document state moves to signed. If a signer is stuck, you can tell the agent to check the status and redistribute the document to that specific person to nudge them forward in the sequence.
Ceven primarily focuses on the instantiation and management of documents using existing templates. While the agent can list, fetch, and delete templates, the actual visual design of a template is best handled within the Documenso UI to ensure field placement is precise. Once you have a template finalized, Ceven takes over by pulling that template ID and injecting the real time data from your other tools to create a live document. This ensures your legal branding stays consistent while the data population remains fully automated.
If a recipient provides an incorrect email or a bounce occurs, you can use the Update Document Recipient action. The Ceven agent can be programmed to watch for failed delivery notifications or manual flags in your CRM. Once a corrected email is found, the agent calls the Documenso API to update the recipient record. This happens without needing to void the entire document or start the process over, which preserves the audit trail and keeps the signing timeline on track for all other parties involved.
Ceven is limited by the API rate limits set by Documenso. Depending on whether you are using the cloud version or a self hosted instance, Documenso may throttle a high volume of rapid API calls. To prevent failures, Ceven implements an exponential backoff strategy. If the agent hits a rate limit, it will pause and retry the request automatically. For users with massive bulk sending needs, we recommend scheduling the workflows in batches rather than firing thousands of requests in a single second to ensure stability.
Yes. Ceven can use the Create Embedding Presign Token action to generate a secure token for your users. This token allows you to render the Documenso signing interface directly within your own application frontend. The agent handles the backend handshake to get the token, which you can then pass to your UI. This provides a seamless experience where the user never feels like they are leaving your platform, while Documenso handles the legal weight of the electronic signature and the secure storage of the final PDF.
The Move Document action allows Ceven to transition a document from a personal workspace to a team workspace. This is particularly useful for freelancers or account managers who draft a document in their own space and then transfer it to the company team once the client approves the terms. The agent can automate this move based on a trigger, such as a status change in a project management tool, ensuring that the final legal record is owned by the organization rather than an individual user account.
Ceven does not act as a permanent file storage system. Instead, it acts as the transport layer. The agent uses the Download Signed Document action to retrieve the file from Documenso and immediately pushes it to your preferred destination, such as Google Drive, SharePoint, or an AWS S3 bucket. This ensures that your sensitive legal documents remain in your controlled environment and are not stored on Ceven servers longer than necessary to complete the transfer process.
Yes. The Delete Document Fields tool supports both single and batch deletions. If a workflow determines that certain optional clauses or data fields are no longer relevant for a specific client, the agent can send a list of field IDs to be removed in one call. This is much more efficient than calling the API for every single field. This capability is often used in complex contract workflows where the final document structure depends on several conditional logic steps processed by the AI agent.
