Frequently asked questions

Ceven monitors your Eventee speaker list for any changes in status or profile information. When a speaker is added or updated in the Eventee dashboard, the agent can trigger a workflow to update that person in your internal database or notify the marketing team via Slack. You can also use Ceven to push bulk updates to speakers, such as adding a standard disclaimer to all bios, without having to click through every individual profile in the Eventee web app manually.
Yes. Ceven can pull the list of attendees who have checked in via the Eventee app and compare it against your master registration list. This allows you to identify no shows in real time. You can set up a workflow where any attendee who has not checked in by a certain hour receives a friendly reminder email or a push notification through a connected communication tool, ensuring your attendance numbers stay high throughout the event.
Ceven treats hybrid events as a single data source. It can distinguish between virtual and in person attendees based on the metadata provided by Eventee. This means you can run separate workflows for each group, such as sending a Zoom link to virtual guests while sending a parking map to those attending in person, all driven by the registration data stored within your Eventee event record.
Ceven can manage as many events as your Eventee plan allows. However, be aware that Eventee imposes strict rate limits on their API for bulk updates. If you attempt to update thousands of attendees or sessions in a single burst, Eventee may return a 429 too many requests error. Ceven handles this by implementing an exponential backoff strategy, meaning the agent will pause and retry the request automatically to ensure no data is lost during large syncs.
When an event is deleted in Eventee, Ceven can be configured to either archive the associated data in your CRM or delete it entirely. We recommend the archive path to maintain historical records of attendee engagement. You can define this behavior in the workflow settings, specifying which downstream systems should be notified when an Eventee event ID becomes invalid or is marked for deletion.
While Eventee does not have a native template API, Ceven can simulate this. You can tell the agent to copy the structure, session list, and speaker categories from a previous Eventee event and apply them to a new event ID. This effectively creates a template system where you can launch recurring monthly or annual events with a single prompt instead of rebuilding the agenda from scratch every time.
Ceven uses secure authentication to connect to Eventee. All data transmitted between the two platforms is encrypted using industry standard TLS. We do not store your Eventee credentials in plain text; they are encrypted at rest using AES 256. Access to your event data is scoped strictly to the actions defined in your workflows, and you can audit every API call the agent makes through the Ceven activity log.
Yes. Ceven can read your list of available speakers and your list of empty sessions in Eventee. You can prompt the agent to suggest speakers based on their bio keywords or simply assign a specific speaker to a time slot. Once the assignment is confirmed in the workflow, Ceven calls the update session tool to finalize the change in Eventee, which then reflects immediately on the attendee mobile app.
