Ceven uses the List Group Custom Fields action to first inspect the specific schema of your Folk group. Because Folk allows you to create highly flexible custom fields for different entities, the agent does not assume a static structure. It dynamically maps incoming data from your workflows to the exact field IDs defined in your workspace. If a workflow attempts to write to a field that does not exist, the agent can be configured to either skip the update or alert you to create the field in Folk first. This ensures that your CRM remains clean and that data is always placed in the correct column without manual mapping.
Yes. By combining the List People and Update Person capabilities, Ceven can monitor for specific triggers, such as a change in a custom field or an external event, and then move a contact from one group to another. Folk imposes rate limits on their API to ensure platform stability, which can vary based on your specific subscription tier. If a Ceven workflow triggers a massive batch update, such as importing thousands of contacts at once, you may encounter a 429 Too Many Requests error. To handle this, Ceven implements an automatic exponential backoff strategy. This means the agent will pause and retry the request at increasing intervals until the rate limit resets. For users on the free tier, we recommend scheduling large data syncs during off peak hours to avoid hitting these limits during your active workday.
Ceven can perform bulk deletions, but it does so with extreme caution. Because the Delete Person and Delete Company actions in Folk are irreversible, Ceven requires a confirmation step for any workflow that targets more than five records at once. You can build a workflow that identifies stale contacts based on a last contacted date and lists them for your review. Once you sign off on the list, the agent iterates through the IDs and removes them one by one. This prevents accidental data loss while still removing the manual effort of clicking delete on every single record.
Ceven prevents duplicate records by using the Search and List Companies actions before creating a new entry. When a workflow is triggered to add a company, the agent first queries Folk for existing companies with the same name or domain. If a match is found, the agent updates the existing record with any new information rather than creating a duplicate. This maintains a clean workspace and ensures that all people associated with a single organization are correctly linked to one company record, providing a true 360 degree view of your corporate relationships.
Ceven can only access the groups and records that the authenticated user has permission to see. When you connect Folk to Ceven, the integration inherits the permissions of the user who authorized the connection. If that user is an admin, the agent can see all groups. If the user has restricted access to certain private groups, those groups will not appear in the List Groups results and the agent will be unable to read or write data to them. This ensures that your internal privacy settings within Folk are respected across all automated workflows.
Yes. Ceven acts as the bridge between your email and Folk. You can set up a workflow where every time you receive an email from a new domain, Ceven searches Folk for a matching company. If the company exists but the person does not, the agent creates the person and links them to that company. It can also log the summary of the email into a custom notes field in Folk. This removes the need to manually copy and paste information from your inbox into your CRM, ensuring your relationship history is always current.
There is no hard limit imposed by Ceven on the number of custom fields it can manage, as it reads the schema directly from Folk in real time. However, Folk itself has limits on the number of custom fields allowed per group depending on your plan. The agent will simply report the fields it finds. If you reach your Folk plan limit, the API will return an error when the agent tries to create a new field, and Ceven will notify you that the workspace is full. We recommend auditing your fields periodically to remove unused columns.
