Ceven uses the SignWell webhook system to listen for status changes. When a recipient opens, signs, or declines a document, SignWell sends a POST request to the Ceven webhook url. The agent then parses this event and triggers any subsequent steps in your workflow, such as updating a Salesforce record or sending a Slack alert. You do not need to poll the API repeatedly to find out if a document is signed. This ensures that your business processes move forward the second the signature is applied, reducing the time between contract execution and project kickoff for your clients.
Yes. You can use the Create Document action to define multiple recipients with specific signing orders. Ceven manages the recipient list and sends the requests through SignWell. SignWell imposes rate limits on its API to ensure platform stability. Depending on your account tier, you may encounter a limit on the number of requests per minute. If Ceven hits a rate limit, the agent will automatically implement an exponential backoff strategy, pausing for a few seconds before retrying the request. This means your workflows will not fail, but they might experience a slight delay during extremely high volume bursts. It is important to be aware that some advanced API features, such as specific template customizations, may be gated behind higher paid SignWell plans.
Ceven primarily interacts with templates you have already created in the SignWell dashboard. While the agent can trigger documents based on those templates, the visual design and placement of signature fields are best handled within the SignWell editor to ensure legal compliance and correct positioning. Once you have a template id, you can tell Ceven to use that specific template for all future requests. All communication between Ceven and SignWell occurs over encrypted HTTPS connections using industry standard TLS. Ceven does not store the actual content of your documents on its own servers for long term storage; it simply facilitates the movement of data to and from the SignWell API. When a document is signed, the final PDF is retrieved via a secure token and passed directly to your chosen storage destination. This architecture minimizes the surface area for data exposure and ensures that your sensitive legal agreements remain protected and compliant with privacy regulations.
Yes. You can create a cleanup workflow that lists documents older than a certain date and then calls the Delete Document action to remove them. This is useful for maintaining a clean dashboard and ensuring you do not exceed any storage limits associated with your SignWell plan. You can set this to run on a weekly or monthly schedule. We recommend having the agent archive the signed PDF to a permanent storage location like Google Drive or Dropbox before deleting the record from SignWell to ensure you keep a legal copy of the executed agreement.
