Frequently asked questions

Ceven operates using the permissions granted to the API key or account owner who authorized the connection. If the account owner has administrative rights, the agent can create, update, and delete users or modify schedules. However, the agent strictly follows the user group logic defined within SuperSaaS. If you have specific restrictions on who can book certain resources, the agent will encounter an error if it attempts to bypass those rules via the API. We recommend creating a dedicated service user in SuperSaaS with the exact level of access needed for your workflows to maintain a clean audit log of all changes made by the agent.
Currently, the integration focuses on managing the users, groups, and data within existing schedules. You can list schedules and retrieve their IDs to run workflows against them, but the structural creation of a new scheduling calendar must be done in the SuperSaaS dashboard. Once the schedule exists, Ceven can handle all the heavy lifting of adding users to that schedule, managing the people who book into it, and syncing those appointments to your other tools. This ensures that your complex scheduling logic and resource constraints are set up correctly by a human before the agent begins automating the volume.
When a user is deleted in SuperSaaS, any workflow relying on that specific user ID will return a not found error. Ceven can be configured to handle this gracefully by searching for a replacement user or logging the event in your CRM. Because the Delete User action is permanent, we suggest a workflow that archives the user in your internal database before calling the SuperSaaS delete tool. This prevents the loss of historical booking data in your own systems while keeping the SuperSaaS user list clean and limited to active clients or staff members.
Yes, SuperSaaS imposes rate limits on their API to ensure platform stability. If a workflow attempts to update thousands of users in a tight loop, you may encounter a rate limit error. Ceven handles this by implementing an automatic retry logic with exponential backoff, meaning the agent will pause and try again after a short delay. For very large bulk imports, we recommend splitting the task into smaller batches over several hours. This ensures that your account remains in good standing and that no data is dropped during the synchronization process between your tools.
Ceven uses the List Field List action to discover exactly which custom fields you have added to your users or schedules. This allows the agent to map a field like Patient ID or Project Code from SuperSaaS directly into a corresponding field in Salesforce or HubSpot. When the agent updates a user, it can write to these custom fields dynamically. This is critical for businesses that need to track more than just a name and email, as it allows the agent to carry specific metadata through the entire booking and onboarding lifecycle without manual intervention.
Absolutely. Ceven can pull your current list of promotion codes from SuperSaaS and push them into your email marketing tool or a public landing page. For example, you can create a workflow that checks for low occupancy in a specific schedule and then automatically emails a valid SuperSaaS promotion code to a segment of your customer list. The agent monitors the promotion status in SuperSaaS to ensure that it only distributes codes that are still active and have not reached their usage limit, preventing customer frustration at the point of booking.
Ceven can read your form definitions to understand what information is being collected from your customers. While the agent cannot redesign the form layout, it can use this knowledge to ensure that the data coming out of a booking is routed to the correct place. If you add a new question to your booking form, you can tell the agent to look for that new field and map it to a new property in your CRM. This makes your scheduling process a flexible data collection point that feeds your entire business intelligence layer in real time.
All data transmitted between SuperSaaS and Ceven is encrypted using industry standard TLS encryption. We do not store your SuperSaaS credentials in plain text; they are encrypted at rest using AES 256. Furthermore, the agent only accesses the data necessary to execute the specific workflow you have designed. We follow a principle of least privilege, meaning the agent does not scrape your entire account but instead makes targeted API calls to retrieve or update the specific records required for the task at hand, ensuring your client data remains secure.
