Frequently asked questions

Ceven uses OAuth 2.0 to connect to your BoldSign account. When you initiate the connection, you are redirected to the BoldSign authorization page where you grant specific permissions to the Ceven agent. BoldSign then provides a secure token that Ceven uses to make API calls on your behalf. We do not store your password. You can manage or revoke this access at any time through your BoldSign account settings. This ensures that the agent only accesses the documents and templates you have explicitly authorized, maintaining a strict security boundary between your account and the workflow engine.
Yes. The BoldSign API provides granular event tracking. Ceven can poll the document status or listen for webhooks to identify exactly when a recipient opens the document. You can build a workflow that triggers a specific action, such as a Slack notification to a sales rep, the moment a high value client views a contract. This allows for a well timed follow up call while the document is fresh in the client's mind, rather than waiting for the signature to either happen or time out.
When a recipient selects the decline option in BoldSign, the document status updates to declined. Ceven detects this state change and can trigger a recovery workflow. For example, the agent can notify the account manager, create a task in your project management tool to resolve the objection, or automatically send a revised version of the document if the decline reason matches a known set of editable terms. This prevents declined documents from disappearing into a void.
Yes. BoldSign imposes rate limits on its API that vary based on your specific subscription tier. If a Ceven workflow attempts to send hundreds of documents in a very short window, you may encounter 429 Too Many Requests errors. To handle this, Ceven implements an exponential backoff strategy, queuing the requests and retrying them automatically. However, for extremely high volume bursts, we recommend scheduling the sends over a longer period or upgrading your BoldSign plan to increase your API throughput limits.
Absolutely. The agent can pull any data point from your connected systems, such as a customer name, address, or contract value, and map it directly into the BoldSign document fields. This means you do not have to manually type information into the document. The agent treats the BoldSign template as a destination and fills in the blanks using the context gathered from your other SaaS tools, ensuring that every agreement is personalized and accurate without manual data entry.
Yes. When the agent uses the send document action, it can specify a signing order. This ensures that Recipient A must sign before Recipient B receives the notification. Ceven can monitor this sequence and provide updates at each stage. For instance, you can set up a workflow that notifies the legal team only after the client has signed, but before the CEO signs, allowing for a final check of the document state before the internal sign off.
While the signed PDF remains in BoldSign, Ceven can be configured to move that file automatically. Once the agent detects the signed status, it can download the PDF and upload it to a specific folder in Google Drive, Dropbox, or a proprietary data warehouse. You can also tell the agent to rename the file using a specific naming convention, such as combining the client name and the date, so your digital archives remain organized without any human intervention.
The agent can create templates using the BoldSign API, but for best results, we recommend creating your visual layouts in the BoldSign web interface first. This allows you to precisely place the signature and date fields. Once the template exists, the Ceven agent can use the template ID to send documents rapidly. While the agent can technically define a template, the point and click editor in BoldSign is the superior way to ensure the document looks professional and the fields are positioned correctly.
