Ceven does not access your Google Docs directly for the generation process. Instead, it interacts with the Docsautomator API, which acts as the bridge. You must ensure that the Google account connected to Docsautomator has the necessary view or edit permissions for the templates you wish to use. When Ceven triggers a document creation, Docsautomator uses its own authorized connection to pull the template and inject the data. If you move a template to a different folder or change permissions in Google Drive, you may see errors in your Ceven workflows until the template link is updated in the Docsautomator dashboard.
Yes. Docsautomator imposes a strict rate limit on the Send Test Email tool to prevent spam. You are limited to 25 emails per hour per automation. If a Ceven workflow attempts to trigger tests more frequently than this, the API will return a rate limit error. For high volume testing, we recommend using a single test record and verifying the output manually rather than looping through a large list of test cases. This ensures that your production environment remains stable and your email reputation with providers is not negatively impacted during the setup phase.
No. The Delete Automation action is permanent and cannot be undone by Ceven or the Docsautomator API. Once an automation is deleted, all associated configuration and mapping data are purged from the system. To prevent accidental loss, we recommend using the Duplicate Automation tool to create a backup of a complex workflow before making major changes or before deleting an older version. If you need to keep a history of your automation settings, you can use a Ceven workflow to periodically pull automation details and save them into a separate database or a spreadsheet for archival purposes.
Docsautomator processes documents in a queue. When Ceven triggers a generation request, the document is added to this queue and processed in the order it was received. You can use the Get Queue Statistics tool to see how many documents are pending. During periods of extreme volume, you might notice a slight delay between the API call and the final PDF availability. Ceven manages this by implementing a polling mechanism that checks the status of the generation and only notifies you or moves to the next workflow step once the document is fully rendered and ready for delivery.
Docsautomator is primarily built around Google Docs for dynamic templating. While you can upload PDF templates for certain types of fixed layout automation, the full power of the variable injection and dynamic content is best realized using Google Docs. When using the Create Automation tool through Ceven, you specify whether the source is a Google Doc or a PDF. Keep in mind that PDF templates are less flexible because they do not support the same level of flowing content that a Google Doc provides, meaning long text strings might be cut off if they exceed the predefined field size.
Ceven uses the List Signing Sessions tool to monitor the status of documents sent for signature. By filtering for specific signer emails or statuses, the agent can determine if a document is still pending, has been viewed, or is fully signed. This allows you to build proactive workflows, such as sending a reminder email three days after a document is sent if the status is still pending. Because this is a pull based system, Ceven checks these statuses at intervals defined in your workflow rather than receiving a push notification the exact millisecond a user signs.
If the underlying Google Doc template is deleted from your Drive, any Docsautomator automation linked to it will fail. Ceven will receive an error from the API indicating that the template could not be found. To fix this, you will need to restore the document in Google Drive or create a new template and use the Update Automation tool to provide the new link. We suggest creating a dedicated service account or a locked folder for templates to prevent accidental deletions by team members who may not realize those documents are powering live business workflows.
Yes. Ceven can iterate through a list of data from any connected source and trigger the Docsautomator API for each record. To avoid hitting API limits or overloading your queue, Ceven can be configured to batch these requests. For example, if you have a thousand invoices to generate, the agent can process them in groups of fifty, checking the queue statistics between batches to ensure the system is keeping up. This ensures that your document generation remains reliable even when scaling from a few dozen documents a month to thousands per day.
