Frequently asked questions

Ceven connects to your Docupilot account and reads the available templates and their required data fields. When you ask the agent to generate a document, it identifies the correct template ID and maps the relevant information from your connected apps into the template placeholders. If a required field is missing from your data source, the agent will notify you or attempt to find the missing value through a search action before triggering the document generation. This ensures that every PDF produced is complete and professional without requiring manual data entry for every single file.
Yes. Ceven can create new folders on the fly or use existing ones to keep your workspace tidy. For example, you can set up a workflow where every time a new client signs up, Ceven creates a folder with the client name in Docupilot and stores all subsequent invoices and contracts there. This prevents your root directory from becoming cluttered and makes it easy for your team to locate all documents related to a specific account without having to search through a massive list of unrelated files.
The integration supports the primary output formats offered by Docupilot, which are mainly PDF and DOCX. You can choose the format during the generation step of your workflow. PDF is typically used for final versions of invoices and contracts to ensure formatting remains locked, while DOCX is useful for drafts that require further human editing. Ceven handles the request for the specific format and can then pass that file to other tools, such as sending it as an email attachment or uploading it to a cloud storage provider.
Ceven is bound by the API rate limits and plan quotas of your Docupilot account. A key quirk of the Docupilot API is that document generation is an asynchronous process. This means when Ceven requests a file, Docupilot puts it in a queue. For very large batches, Ceven monitors the status of these requests and only proceeds to the next step, such as emailing the file, once Docupilot confirms the rendering is complete. If you hit your monthly document limit on your Docupilot plan, the API will return an error and Ceven will alert you to upgrade your plan.
Ceven uses a secure connection process to link with your Docupilot workspace. You provide the necessary authorization which allows Ceven to act on your behalf to manage templates and generate files. We store these credentials using industry standard encryption. You can revoke access at any time through your Docupilot account settings. Once revoked, Ceven immediately loses the ability to read your templates or create new documents, ensuring that you maintain full control over your document automation environment and your sensitive business data at all times.
Docupilot is primarily designed for the generation of new documents rather than the editing of existing ones. Because of this, Ceven cannot open a PDF and change a single sentence. Instead, the recommended workflow is to update the data source and have Ceven trigger a new generation request. This creates a fresh version of the document with the updated information. This approach ensures a clean audit trail of all document versions and prevents formatting errors that often occur when trying to programmatically edit a flat PDF file.
Yes, but the logic resides within the Docupilot template itself. You can set up conditional sections in your template that only appear if certain data is present. Ceven simply provides the data. For instance, if you have a section for late fees that only shows if a balance is overdue, Ceven will pass the balance amount and the overdue status. Docupilot then decides whether to render that section in the final PDF. This allows you to create highly dynamic documents that adapt to the specific data provided by the Ceven agent.
Ceven does not act as a permanent storage layer for your documents. Instead, it facilitates the movement of files from Docupilot to your preferred destination. Once a document is generated in Docupilot, Ceven can fetch the download link and push the file to Google Drive, Dropbox, or send it directly via email. While the file may pass through the workflow context temporarily to enable these actions, the source of truth for the file remains Docupilot until it is moved to your chosen long term storage system.
