Frequently asked questions

Ceven acts as the orchestrator between your data and the eSignatures.io API. When you trigger a contract, Ceven pulls the necessary variables from your connected apps and pushes them into the eSignatures.io template. It then monitors the document state via polling or webhooks. Once the status changes to signed, Ceven can trigger a series of downstream actions like sending a confirmation email or updating a record in your database. This means you never have to manually log into the dashboard to see who has signed and who is still pending.
Yes. You can create your templates directly in the eSignatures.io dashboard or use the Ceven agent to create them via the API. Once a template exists, Ceven can list all available templates to find the correct ID. The agent then maps your specific deal data to the placeholders in that template. If you update a template in the dashboard, the changes reflect immediately in the contracts Ceven generates, as it pulls the latest version of the template by ID every time a new contract is created.
Ceven is limited by the plan you have with eSignatures.io. If you are on a tier with a monthly document cap, Ceven will receive an error from the API once that limit is reached. The agent will notify you in the workflow logs that the request failed due to a plan limit. To avoid this, we recommend monitoring your usage in the eSignatures.io account settings. Ceven cannot bypass these tier gates as they are enforced on the vendor side during the API request process.
Ceven does not store the actual content of your contracts. It sends the instructions and data to eSignatures.io, which handles the secure hosting and signing of the document. The signing link is generated by eSignatures.io and sent directly to the signer. Ceven only handles the metadata and the final PDF once it is completed. All communication between Ceven and the API happens over encrypted channels, ensuring that sensitive client information is protected while in transit between your CRM and the signature platform.
If a mistake is found, you can use the Ceven agent to withdraw the contract using the Withdraw Contract action. This invalidates the signing link so the user cannot complete the document. After withdrawing, you can simply trigger a new contract creation with the corrected details. This is the cleanest way to handle errors because it prevents multiple versions of a signed document from existing, which could lead to legal confusion. The agent can automate this by watching for a specific flag in your CRM.
Yes. Ceven can call the Create Signer tool multiple times for a single contract ID. You can set up a workflow that loops through a list of stakeholders in your CRM and adds each one as a signer to the document. The agent ensures that each signer is assigned the correct role and email address. You can define the order of signing if the template supports it, and Ceven will track the progress as each individual signer completes their portion of the agreement.
Branding is managed at the account level within eSignatures.io. Any logos, colors, or custom email domains you have configured in your eSignatures.io settings will be applied to the documents and emails that Ceven triggers. Ceven does not control the visual styling of the document itself, as that is a function of the template and account settings. This ensures a consistent brand experience for your clients regardless of whether the contract was sent manually or via an automated Ceven workflow.
Ceven can monitor the status of a contract and detect if it has remained in a pending state for an unusual amount of time. While the API does not always provide a bounce notification in real time, the agent can check the status periodically. If a contract is not signed within your defined window, the agent can flag the record in your CRM or send you a notification. This allows you to reach out to the client to verify their email address or send the request through an alternative channel.
