You can build logic into Ceven to hold jobs until a specific cutoff time or batch them to run once per day. The agent monitors the response from the API to confirm the job was accepted and then updates your internal database with the print ID for future tracking. This removes the need for manual batching or daily uploads to a print portal.
Yes. Ceven can manage your backgrounds through the Intelliprint API. You can use the agent to upload specific background files for different teams or customer segments. When a print job is created, the agent specifies the background ID to ensure the letter appears on the correct corporate stationery. This is useful for companies with multiple brands or sub brands that need a distinct look for their physical mail. You can update these backgrounds in real time without needing to change the actual content of the letters being sent.
Ceven monitors the return status of every API call. If Intelliprint returns an error during the job creation phase, the agent can trigger a fallback workflow, such as sending an email notification to the account manager or logging the failure in a Jira ticket. For jobs that fail after acceptance, you can set up a recurring check that uses the retrieve print job action to poll for status updates. If a job is marked as failed, the agent can automatically attempt a resubmission or alert a human to review the document for formatting issues.
While Ceven can push thousands of requests, you must be aware of the Intelliprint API rate limits which vary by account tier. If your workflow exceeds the allowed requests per minute, the Intelliprint API will return a 429 error. Ceven handles this by implementing an exponential backoff strategy, meaning the agent will pause and retry the request automatically. However, for extremely large bulk mailings of tens of thousands of letters, we recommend using the merge files tool to consolidate documents where possible or scheduling the workflow to run in smaller batches over several hours.
The agent uses the merge files tool to combine multiple documents into a single PDF before the final print job is created. This is ideal for letters that require dynamic attachments, such as a cover letter combined with a generated statement and a legal disclosure. Ceven collects the individual file URLs or binary data, sends them to Intelliprint for merging, and then uses the resulting merged document ID for the print job. This ensures that the physical mail is sent as a single cohesive packet rather than multiple separate envelopes.
You can cancel a print job as long as it has not yet reached the physical printing stage. The agent can use the cancel or delete print job action to stop the process. This is useful if a customer updates their information or cancels their order immediately after the workflow triggers. However, once the job status moves to printing or mailed, the API can no longer stop the physical process. We recommend building a short delay or a review step into your Ceven workflow for high value mailings to allow a window for manual cancellation.
Intelliprint uses secure authentication for all API requests, and Ceven transmits all document data over encrypted channels. The agent does not store your documents permanently; it acts as a conduit between your data source and the Intelliprint print server. Once the print job is confirmed and the status is retrieved, the temporary file references are cleared from the active workflow context. This ensures that sensitive customer information, such as account numbers or personal addresses, is only present in the system for the duration required to execute the mailing.
Ceven uses the retrieve print job action to pull the current status of any mailing. Depending on the postage class selected in Intelliprint, this can include confirmation of receipt or a tracking number from the postal carrier. You can build a workflow that polls this endpoint every few days and updates your CRM when the status changes to delivered. This provides a digital audit trail for physical mail, allowing you to know exactly when a customer received a legal notice without having to manually check a postal tracking website.
