Frequently asked questions

Ceven accounts for the fact that AI generated summaries and chapters in Leexi are not available immediately after a call ends. The agent uses a polling mechanism that checks the call status at regular intervals. Once the Leexi API signals that the transcription and analysis are complete, Ceven triggers the downstream workflow. If you try to pull a summary too early, the agent will notify you that the analysis is still processing and will automatically retry until the data is ready for extraction.
Yes. Ceven manages the two step upload process required by Leexi. First, the agent calls the presigned URL endpoint to get a secure upload link. Then, it handles the PUT request to move your audio file into the Leexi cloud. Once the upload is confirmed, the agent creates the corresponding call record so the transcription process begins. This allows you to automate the processing of recordings from other sources like Zoom or Google Meet that were not recorded directly through Leexi.
Ceven respects the permission model established within your Leexi workspace. The agent operates using the credentials of the connected user, meaning it can only read calls and meeting events that the authorized user has permission to view. If a call is marked as private or restricted within Leexi, the API will return a not found or unauthorized error, and Ceven will not be able to pull that transcript into any workflow or share it with other tools.
Yes. Ceven can list all teams and users within your Leexi workspace. This allows you to build workflows that route meeting summaries to different departments. For example, the agent can identify which team a call belongs to and send the summary to the corresponding Slack channel. You can also filter your call searches by team ID to ensure that the agent only processes meetings relevant to a specific group of people rather than the entire company.
The primary limitation is based on the Leexi API rate limits and your specific subscription tier. Leexi enforces a request limit per minute to ensure platform stability. If a workflow attempts to sync hundreds of calls at once, Ceven will encounter a rate limit error. To handle this, we implement an exponential backoff strategy where the agent pauses and retries requests. For very large accounts, we recommend scheduling bulk syncs during off peak hours to avoid hitting these limits.
Ceven relies on the transcription engine of Leexi to identify the language spoken. Once Leexi generates the text, Ceven can use its own internal translation capabilities to convert those transcripts into your preferred language before pushing them to your CRM. If the Leexi transcript contains multiple languages, the agent can be instructed to translate only specific sections or provide a side by side translation in the final summary pushed to your task manager.
Yes, but this is a destructive action. You can build a workflow where Ceven deletes a meeting event by its UUID after a certain period of time or after the data has been successfully mirrored to your archive. Because this cannot be undone, we recommend adding a human in the loop approval step. The agent will send a confirmation request to a manager before executing the delete command to ensure no critical business data is lost permanently.
When you use the create meeting event action, Ceven sends the timing and participant list to Leexi. This tells Leexi to expect a meeting and prepare for recording. You can specify recording preferences through the agent, such as whether the meeting should be automatically transcribed or if it requires a manual trigger. This is particularly useful for teams that want to ensure every client call is captured without having to manually start the recorder every single time.
