Frequently asked questions

Ceven connects to Paperform using a secure API key provided in your account settings. This key grants the agent access to read your forms and retrieve submission data based on the permissions of the account owner. We store this key encrypted at rest and use it only to execute the specific actions you define in your workflows. You can rotate your API key at any time from the Paperform dashboard, which will immediately disconnect the Ceven agent until the new key is provided. This ensures you maintain full control over who can see your form data and which spaces are accessible to the AI agent during the automation process.
Yes, provided the API key used has the necessary permissions. The agent can use the List Spaces action to identify all available environments and then drill down into specific spaces to find the forms you need. This is particularly useful for large organizations that separate client intake forms from internal employee surveys. The agent can be instructed to only watch forms within a specific space to avoid triggering workflows on test forms or draft versions. By scoping the agent to a specific space ID, you ensure that your production data remains clean and your automation triggers are precise and predictable across your entire account.
A critical quirk of the Paperform API is that the Get Space Forms endpoint is gated behind the Business API. If you are on a lower tier plan, the agent will receive an authorization error when attempting to list forms within a specific space. To resolve this, you must either upgrade your Paperform plan to the Business tier or use the general List Forms action, which returns all forms accessible to the user regardless of their space. The agent is programmed to recognize this error and will suggest the general list alternative if it detects a plan restriction, ensuring your workflow does not simply crash without a clear explanation.
Ceven can interact with Paperform translations through the List Translations action. This allows the agent to identify which languages are active for a specific form and pull the corresponding translation keys. When a submission comes in, the agent can use this data to route the lead to a representative who speaks the language of the respondent or to trigger a localized email sequence. While the agent cannot currently create new translations directly inside Paperform, it can read the existing translation state to ensure the downstream automation matches the language used by the customer during the form fill process.
Ceven processes Paperform submissions as a stream of events. When a user submits a form, the data is pushed into the workflow layer where the agent evaluates it against your defined rules. If you have a high volume of entries, Ceven queues these events to ensure no data is lost during peak traffic. The agent can then batch these submissions for summary reports or process them one by one for immediate actions like sending a confirmation email. Because the agent operates asynchronously, your form users experience no lag in the interface while the complex backend workflows are running in the background.
Currently, the integration focuses on the management and retrieval of forms and their data. The agent can list forms, get space details, and manage translations, but it cannot programmatically build a new form from scratch or add new fields to an existing form. This is a design choice to ensure that the visual layout and logic of your forms remain under human control. You should design your form in the Paperform editor first, and then use Ceven to handle the data that flows out of that form. This separation ensures that your brand aesthetics and user experience are not altered by AI.
The sync happens in real time for new submissions via webhooks. The moment a respondent clicks submit, the data is sent to Ceven and the agent begins executing the associated workflow. For management tasks like listing spaces or retrieving form details, the agent makes a live API call to Paperform to ensure it is working with the most current configuration. There is no daily sync window or manual refresh required. If you update a form name or move it to a different space, the agent will see those changes the next time it calls the API, keeping your automation in lockstep with your account.
All data transmitted from Paperform to Ceven is encrypted using industry standard TLS protocols. Once the data reaches the workflow layer, it is processed in a secure environment. We do not use your raw form submission data to train our global models. The data is used strictly to fulfill the logic of your specific workflow, such as extracting a name to put into a CRM. You can define fine grained controls over which fields the agent can read and which should be ignored, ensuring that sensitive information like passwords or private health data is never passed to the model for processing.
