Frequently asked questions

Ceven operates as a bridge to the RocketReach API, meaning every request for a verified email or phone number consumes credits from your existing RocketReach plan. The agent does not provide its own credits. To prevent accidental drain, you can set a daily credit limit within the Ceven workflow settings. If the agent hits that limit, it will pause and notify you via Slack or email rather than continuing to spend. We recommend using the search action first to identify the right person and only using the get person details action when you are certain you need the verified contact info, as searching is typically less expensive than unlocking a full profile.
Yes. You can build a scheduled workflow in Ceven that runs every morning. For example, you can tell the agent to search RocketReach for any new Director of Engineering hires at Series B startups in New York. The agent will run the search, filter for the most recent profiles, and then push those contacts into your CRM or a Google Sheet. This removes the need for a human to manually log in and run the same search every day. You can even add a step to check if the lead already exists in your database to ensure you are only spending credits on truly new prospects.
When the agent requests contact details, RocketReach returns a confidence score and a status for each email. If no verified email is found, the agent will mark the lead as unverified in your destination system. You can configure the workflow to either skip these leads entirely or move them to a separate list for manual research. This ensures your outbound email sequences maintain a high sender reputation by avoiding high bounce rates. The agent can also be told to try searching for an alternative contact at the same company if the primary target has no verified data available.
Ceven can handle thousands of leads, but you are bound by the API rate limits set by RocketReach. Depending on your plan, RocketReach may throttle requests if you attempt to pull hundreds of profiles per minute. To handle this, Ceven implements an automatic retry logic with exponential backoff. If the agent receives a rate limit error, it will pause for a few seconds and try again until the request completes. For very large lists, we suggest using a batch processing workflow that spreads the requests over several hours to avoid hitting these hard limits and ensuring a smooth data flow.
Absolutely. You can set up a recurring workflow that scans your CRM for contacts that have not been updated in six months. The agent then uses the lookup by email action in RocketReach to see if the person has changed companies or titles. If a change is detected, Ceven updates the CRM record and creates a task for the account manager to reach out to the person at their new company. This keeps your pipeline accurate and provides a natural reason for outreach. It turns your CRM from a static list into a living database that evolves with your professional network.
Ceven acts as a conduit and does not maintain a permanent database of the leads it finds. The data is pulled from RocketReach in real time and pushed directly to your chosen destination, such as Salesforce, HubSpot, or an external database. While the data exists in the workflow execution log for a short period to allow for debugging and verification, it is not used to build a separate directory. You maintain full ownership of the data once it reaches your CRM. This architecture ensures that your lead data remains secure and follows the privacy settings you have established in your own systems.
The search action is used for discovery when you have broad criteria like a job title or a company name. It returns a list of potential matches that you then need to filter. The lookup action is for precision and requires a unique identifier like an email address or a LinkedIn URL. Lookup is much faster and more accurate because it bypasses the discovery phase and goes straight to the specific profile. In a professional workflow, you typically use search to build a list and then use the lookup or get details action to unlock the actual contact information for the specific individuals you intend to target.
The lookup by LinkedIn URL action uses RocketReach's proprietary database of indexed professional profiles. It does not require the agent to log into your personal LinkedIn account, which means there is no risk of violating LinkedIn terms of service or getting your account flagged for scraping. The agent simply sends the URL to RocketReach, and RocketReach returns the contact data they have on file for that profile. If a user has opted out of RocketReach or their profile is not in the database, the agent will return a not found response. This makes the process safe and compliant for high volume outbound operations.
