Ceven uses a search first approach to prevent data pollution. Before any create contact action is executed, the agent performs a search using the email address as the unique identifier. If a match is found, the agent updates the existing record rather than creating a second one. If multiple records exist due to previous manual entry errors, the agent flags the duplicates for human review and asks which record should be the primary source of truth. This ensures your pipeline reporting remains accurate and your sales team does not send duplicate emails to the same prospect.
Yes. You can build workflows where Ceven monitors for specific events, such as an email containing the word contract or a calendar event marked as demo. When these triggers occur, the agent calls the update deal stage action to advance the opportunity. You can also set up a reverse trigger where a deal is moved back to a previous stage if a contact mentions they need to put the project on hold. This keeps your forecast real time without requiring manual updates from the sales team after every interaction.
Ceven can access the metadata associated with contacts and deals, including the timing of the last communication. While Salesflare handles the actual email tracking and logging, Ceven reads those timestamps to trigger follow up workflows. For example, if the last communication date was more than fourteen days ago, Ceven can identify that lead as cold and move it into a re engagement sequence. The agent does not read the raw email stream unless you have granted it access to the connected email provider as well.
Ceven respects the API rate limits set by Salesflare. One specific quirk to note is that Salesflare applies different rate limits based on your subscription tier. If you are on a lower tier plan, very large batch updates to thousands of contacts may be throttled. To handle this, Ceven implements an automatic retry logic with exponential backoff. If the agent hits a rate limit, it will pause the workflow and resume once the window resets, ensuring no data is lost during high volume synchronization tasks.
Ceven can write data to existing custom fields, but it cannot create new field definitions via the API. You must first define your custom fields, such as lead score or industry vertical, within the Salesflare dashboard. Once those fields are created, the Ceven agent can read from them to filter leads or write to them to update a lead profile. This ensures that your data schema remains controlled by your administrators while the agent handles the manual task of filling in those fields.
Ceven operates using the permissions of the API token provided during the connection process. If the account connecting Salesflare has administrative access, the agent can see and modify all deals across the organization. If you connect with a user account that has restricted access to only their own leads, Ceven will only be able to read or update those specific records. We recommend using a dedicated service account with the minimum necessary permissions to maintain a secure audit trail of all automated changes.
Yes. While Salesflare provides basic tracking, Ceven can implement a more complex scoring logic. The agent can pull data from multiple sources, such as website visits or LinkedIn interactions, and then calculate a score based on your business rules. Once the score is calculated, the agent updates a custom field in Salesflare. You can then trigger other workflows, such as notifying a sales rep via Slack, whenever a contact score crosses a specific threshold, ensuring the team focuses on the hottest leads first.
Ceven does not maintain a mirrored database of your contacts, so it does not perform hard deletes in other systems automatically unless you explicitly build that workflow. If an agent attempts to update a contact that has been deleted in Salesflare, the API will return a not found error. Ceven catches this error and can be configured to either log the failure or trigger a cleanup workflow that removes the corresponding record from your other connected tools to keep your entire stack in sync.
