Frequently asked questions

Ceven operates using the permissions of the authenticated user who connected the account. If you are a storm administrator, the agent can perform management tasks like closing a storm or updating section titles. If you only have participant access, the agent will be limited to reading ideas and adding new notes. When an action fails due to a permission error, Ceven will notify you that the account lacks the necessary administrative rights for that specific board. This ensures that the agent cannot accidentally modify a locked storm or invite users to a private board without the proper authorization level.
Currently, the Stormboard API provides a list of ideas, but it does not return the actual binary data for files, images, or complex whiteboards. Ceven can see that a file exists and can read any associated text or metadata, but it cannot analyze the visual contents of an image or read the internal text of an uploaded PDF. If your workflow relies on visual data, you will need to ensure that key information is captured as a text based sticky note. This is a known limitation of the current API version provided by Stormboard.
Ceven can create tags on the fly or use existing ones. When updating tag data for an idea, the agent sends a change list. Any tag not mentioned in that list remains untouched, which prevents the agent from accidentally wiping out your existing categorization. If the agent attempts to apply a tag that does not yet exist in that specific storm, Stormboard creates the tag automatically. This allows the agent to implement dynamic tagging strategies based on the content of the ideas without requiring a pre defined taxonomy for every new board.
Yes. You can set up a workflow where Ceven monitors for a specific trigger, such as a calendar event ending or a chat command, and then calls the close storm action. Once closed, the storm becomes read only. This is particularly useful for ensuring that a consensus reached during a timed workshop is not altered after the session ends. Only the storm creator or an administrator can perform this action, so the connected account must have those specific privileges for the automation to execute successfully across all your boards.
Ceven uses a polling and event based approach to stay in sync. While the agent can pull the latest list of ideas or chat messages on demand, it does not have a persistent open socket to every board. For high priority workflows, you can schedule the agent to check for new ideas or unread chat messages at specific intervals. This allows the agent to react to new input by tagging it or notifying other team members in external apps, effectively mimicking a real time integration for your collaboration needs.
Stormboard implements rate limits on their API to ensure platform stability. If Ceven attempts to push hundreds of sticky notes in a few seconds, the API may return a rate limit error. Ceven handles this by implementing an exponential backoff strategy, meaning it will pause and retry the request after a short delay. You will not lose your data, but you might notice a slight delay in the appearance of notes on the board during massive bulk imports. We recommend batching very large imports into smaller logical groups.
Yes, the agent can update section properties including the title and description. By analyzing the content of your ideas, Ceven can suggest new section headers and then move ideas into those sections. This is a powerful way to clean up a messy brainstorm. The agent can group ideas by theme, sentiment, or priority. Just be aware that updating section properties requires administrative access to the storm, so the connected user must be an admin to allow the agent to restructure the board layout.
The agent can manage the invitation lifecycle for you. It can pull a list of pending storm invitations and then either accept or decline them based on your preferences. For example, if you are invited to a storm that matches a certain project keyword, Ceven can automatically accept the invite and join the board. This removes the need to manually check your email and click join links for every new collaboration request, streamlining how you enter new digital workspaces across your organization.
